Use the Calibration feature to:
- Store information about your equipment
- Require users to register the equipment they are using to do the work described in a ticket/item
When setting up Calibration for the first time, follow these steps:
- Find out the information needed to describe your equipment (in equipment items).
- If your company already has this information (barcodes, etc.) use it to create the Equipment Calibration form from which you'll create equipment items
Use the Equipment Calibration form to create equipment items. These items must have fields for this information:
- Device ID: The unique identifier for each piece of equipment (barcode, UPC, etc.)
- Status: The Status determines whether users can work on work items with the equipment needed. Open statuses allow work to proceed. Closed statuses require users to register the equipment needed before the work can proceed
- Type: The kind of equipment (truck, wrench, drill, etc.)
- Create Work Type Calibrations to link the equipment items to work items. This means users can be required to register equipment before they work on work items.
- Apply calibration to groups of users
Create Equipment Calibration Form
Create an Equipment Calibration form to use as a template for equipment items. Follow the Create Form procedure. You must include fields that contain the information below (field names shown are recommended, but you can name them as needed):
Field Name | Description |
Device ID | Use a Text field to store the unique identifier for each piece of equipment. For example, each piece of equipment often has a unique barcode attached to it. Text fields accept both numbers and letters and have no character limit. System allows shared IDs (same barcode used for multiple pieces of equipment), but they are not recommended |
Status | Statuses are defined on forms. In the App Designer, you can rename statuses. Closed: Prevents users from working on work item form/ticket if the equipment required by the work type calibration is unregistered Open: Users can work on work item form/ticket if the equipment required by the work type calibration is registered |
Type | Use a Multiple Choice field. Add an Option subfield for each equipment type. When using the Equipment Calibration form to create Equipment items, the Options appear in the Type field. |
Create Equipment Items
Use the Equipment Calibration form to create items for each piece of equipment you want to calibrate. Follow the Create Form procedure. If your company has the Import Items feature or API Integration Configuration you can create equipment items by importing a file. You must include fields that contain the information below (field names shown are recommended, but you can name them as needed):

When you created you Equipment Calibration form , if you used a Multiple Choice field, the Options you entered appear as the Types |
Setup or Modify Calibration
- On the top menu bar, click System Management ( )>Administration>General>Calibration
- On the Work Type Calibration page, in the upper right corner, click Setup Calibration
On the Calibration Setup page, fill in the fields:
Field Name Description Device ID The unique identifier for each piece of equipment (truck, wrench, etc.). For example, each piece of equipment often has a unique barcode attached to it. The system allows shared IDs (same barcode used for multiple pieces of equipment), but they are not recommended Form Choose the Equipment Calibration form Status Closed: Prevents users from working on work item form/ticket if the equipment required by the work type calibration is unregistered
Open: Users can work on work item form/ticket if the equipment required by the work type calibration is registered
Type Use a Multiple Choice field. Add an Option subfield for each equipment type. When using the Equipment Calibration form to create Equipment items, the Options appear in the Type field.
When you created you Equipment Calibration form, if you used a Multiple Choice field, the Options you entered appear as the Types
- Click Save
Create or Modify Work Type Calibration
Use Work Type Calibrations to link Equipment items to work items/tickets. Work Type is the kind of work requires equipment or the form for the work that requires equipment that needs to be calibrated (recorded/registered)
There can be only one work type calibration per work type form (ticket or work item used to describe the work).
- On the top menu bar, click System Management ( ) > Administration > General > Calibration
- On the Work Type Calibrations page, in the upper right corner, click New Work Type Calibration
- In the Create a Work Type Calibration window, choose the form you want to link to a qualification.
- Click OK. The Calibration for [form name] Actions page appears. The To Complete the Actions section lists the actions on the form
- On the Calibration for [form name] Actions page, in the Require Calibration section, click Y. the existing Calibration is automatically filled in Click Add. [if choose N, then Save, the work type calibration is deleted]
- On the Calibration for [form name] Actions page, in the of Equipment Types section, click +Add Equipment Type to choose the equipment type. Click Add
- The equipment type appears in the of Equipment Type section
- Click Save
Delete Work Type Calibration
- On the top menu bar, click System Management ( ) > Administration > General > Calibration
- On the Work Type Calibrations page, in the Work Type column, click the Work Type Calibration you want to delete
On the Calibration for [form name] Actions page, in the Require Calibration section, click N.
- Click Save. Result: The Work Type Calibrations page appears. The Work Type Calibration is gone.
After creating a calibration, work type calibrations, and linking them to forms, you must require groups to enforce them. In most cases, this has been done by your company's UtiliSphere administrator.
- On the top menu bar, click System Management ( ) > Administration > General > Groups
- On the Group Summary page, in the Name column, click the group you want to enforce qualifications for
- On the Group Details page, click Select Group Options
On the Configure Group Options page, in the Equipment Calibration section, check the Apply Operator Qualification Rules
Calibration Required in Group? Result Not Required - no prompt but equipment is saved with actions if provided Users not required to register equipment to perform actions on a form (item) Required - only prompt if equipment is not provided when viewing item details Users required to register equipment to perform actions on a form (item) Required - prompt when viewing item details Every time users view an item, they are prompted to register equipment to perform actions on a form (item) - Click Save. The Group Details page appears. In the Options section the calibration setting you chose appears
